about the position
The Coordinator is responsible for coordinating across projects to ensure that business runs smoothly. A team coordinator is an individual who provides administrative roles that facilitate the daily functions and operations of the organization. Working closely with the Executive Director, Operations Director, and Programmes Director this role coordinates with clients and collaborators to keep internationally staffed projects and teams running smoothly.
This includes communicating with clients while also facilitating and tracking the necessary progress with internal teams as it relates to specific projects and general wellbeing. This role will engage in global projects that span many time zones and requires an ability to shift schedules to accommodate clients across the US and Europe as well as in Asia, Africa, the Middle East and South America.

responsibilities
The Coordinator is focused on all of the behind-the-scenes logistics that are required to keep their projects running day-to-day, with attention to the overarching schedule and budget. This role is that of a conductor who understands the breadth of the project(s) while keeping teams focused on the immediate tasks at hand and understanding what comes next. Responsibilities include, but are not limited to:
Project management:
Track project progress towards completion
Develop, implement and monitor day-to-day project management systems
Ensure project management tools reflect project status in a timely way
Measure the effectiveness of our current operational processes against organizational and client objectives
Project support:
Conduct interviews to support research
Support facilitation planning for projects
Plan logistics for workshops
Sort and organize drive folders
Contribute to report writing
Team management:
Manage team schedules, deliverables and due dates.
Handle international travel logistics
Recommend process improvements that maximize efficiency and productivity without compromising the quality of the product or the team
Budget and financial management:
Track project budgets
Manage client invoices
Help manage our relationship tracking for clients, contractors and vendors
Regularly update QuickBooks and report on key financial indicators ie. cash flow, job costing, etc.
Organizational management:
Provide visibility into goals, progress and obstacles for Firsthand objectives
Lead inter-organizational collaboration to implement improvements

Proficient with office related software (MS Office, Google, databases, etc)
Ability to learn and follow project and business management software (Asana, Quickbooks, etc)
location & time zone
Firsthand is a remote, distributed company—we do not have an office. Employees work from the location that best suits their needs, and all communications take place using digital tools. Our team of collaborators is currently spread across six time zones (San Francisco, St. Louis, New York, London, India) and we generally schedule meetings within the range of 7AM-5PM EST.
compensation & benefits
Salary Range: $50,000-$65,000 based on years of experience and background.
We will begin with a 3 month contract and speak frequently about the transition to a full-time employee after the 3 month project period.
